Forms management overview

AEM forms provides simplified yet powerful user interface to form administrators and developers to manage forms and related assets. It provides a host of tools in a consolidated view of the forms repository to search, list, view, and perform advanced operations on forms and assets. It helps manage the complete lifecycle of forms - from a developer's desktop to offering it on a portal server for end users.

Forms management capabilities

AEM forms offers the following forms and assets management capabilities:

  • Create adaptive forms
  • Create folders to categorize forms
  • Upload and download XDP and PDF documents to and from the repository
  • Perform full-text or advanced search on meta properties
  • Add or update form metadata
  • Configure the submit URL for XDP and PDF based forms
  • Configure the render profile for XDP based forms
  • Perform on-demand or scheduled publishing or unpublishing of a form
  • Preview a form as PDF or HTML - with or without sample data
  • View and browse form relationships
  • Initiate and manage form review workflow
  • Enable analytics for adaptive form and view reports
  • Change the template applied to an Adaptive Form

Supported asset types

AEM forms supports the following asset types:

  • Form templates (XFA forms)
  • PDF forms
  • Document (flat PDFs)
  • Adaptive Forms
  • Resource (Image and XSDs)
  • Form set

Note:

A Resource in AEM forms is expected to be associated with a form template.

AEM forms user interface overview

You can access the AEM forms UI by clicking Forms in the left navigation page of the AEM landing page or by logging in at http://<server>:<port>/aem/forms.html.

As shown in the image, AEM forms UI includes the following primary sections:

  1. Breadcrumb: the horizontal bar present at extreme top of the page provides a user with information about the current location in the folder hierarchy and offers direct links to parent locations.
  2. Rail: the collapsible column present at the extreme left of the page contains a number of tabs that link to various modules within AEM, like Forms.
  3. Form listing panel: the content area stretching across the screen that lists forms in a tabular format along with their meta-properties. This panel has an option to display forms in a card layout as well.
  4. Search panel: the collapsible column present in between the rail and form listing panel. It provides basic as well as advanced search options.
  5. Toolbar: the horizontal bar present right above the list of forms. It contains forms management tools. You can hover your mouse over a tool icon to view the tool tip describing its functionality.

Use folders to arrange assets

AEM forms UI uses folders to arrange assets. It supports two types of folders:

  • Forms Workflow folders: These folders are created when LiveCycle applications are migrated and syncronized. You cannot rename, create a subfolder, create an adaptive form, delete a version folder, and delete an application in these folders. Forms Workflow folders are only applicable to AEM forms on JEE and not to AEM form on OSGi.
  • General folders: These folders are used for assets created in AEM forms UI. These folders do not have a strict folder structure. You can rename, create subfolders, and create an adaptive form in these folders.
