Enable linkless notifications

Enable your account or group to deliver agreement emails to recipients without active links.

Overview

Administrators can configure their account or group to deliver agreement emails to their recipients without including active hyperlinks. Instead, the recipient receives plain text instructions with a URL and an access code that links to the interactable agreement. Both Review and Sign and Reminder email templates are updated when the feature is enabled.

This configuration may be desirable when compliance regulations demand that active links not be included when providing access to signable material. 

Entering the access code only replaces the act of selecting the hyperlink in the traditional email template. Once the access code is verified, the recipient must then accept the terms of use, complete any authentication method configured, and complete their actions for the agreement just as they would in the traditional process.

Linkless notification is available in the new and classic versions of the Request Signature experience.

Availability:

The linkless notification feature is available for business and enterprise license plans.

Configuration scope:

The linkless notification feature can be enabled at the account and group levels.

The controls for this feature can be assessed by navigating to Email Settings > Enable Linkless Notifications

How it's used

When the setting is enabled, there is no impact on senders. They send using the same processes and workflows as they did before. The only changes are to the email template delivered to the recipient.

Recipients access the agreement by following the instructions provided in the email.

  1. An email to review and sign an agreement is received.

    There are three critical elements to this email:

    A. The URL to the page that accepts the access code
    B. The email address of the recipient
    C. The access code

    Reminder emails are in a similar format, containing the three elements to access the agreement in text form.

  2. Copy and paste the URL into a new browser tab to open the Access your document page.

  3. Enter (copy and paste) the recipient's email address and access code.

    Select Submit.

  4. The page refreshes to expose a Review and sign button and optionally a Delegate button (if delegation is enabled for the recipient).

    Selecting the Review and sign button redirects to the e-sign environment, asking the recipient to accept the terms of use or triggering authentication (depending on the agreement settings).

    Selecting the Delegate button opens the delegation page, allowing the recipient to properly delegate the signature authority to another party.

    The recipient enters:

    • The email address of the person to complete the agreement
    • A message for the new delegate to explain the agreement if needed.

    Once the delegation is configured, the recipient selects the Delegate button to execute the delegation process.

    The new delegatee is immediately emailed a Review and sign email with a new access code and the message provided by the delegator.

Best practices

While the access code process isn't complex, it's more friction for recipients than simply selecting a hyperlink. Customers should enable this feature only if they have a compliance-related reason to do so.

When the feature is enabled, emails sent to recipients regarding signing an agreement will not contain active links, and instead provide the URL and access code:

Audit Report and Activity list

The Audit Report explicitly identifies the emails sent with an access code:

The Activity list for the agreement does not identify that the agreement has been sent with an access code.

Things to know

  • When a new reminder email is triggered for any agreement, this setting is evaluated, and the correct template is selected. If the setting changes and new reminders are triggered, the new setting value is honored, and the template related to that value is delivered.
  • Linkless notifications can be supported on Custom Email Templates.
  • Accounts that have Report Abuse links enabled will find the Related print version of the URL in the email footer.
