Editing shared library template properties helps administrators keep shared content organized, control who can use each template, and prevent outdated templates from circulating. Use this process to update the template name, change how the template is used, or adjust access settings for templates shared with your group or account.
Edit shared library template properties

Go to the Shared Libraries tab in the admin menu.

In the Shared Libraries view, select the template to open its editable properties.
This opens the template in the field authoring environment. -
In the field authoring environment, select Edit (next to the Add form fields for label).
This opens the Add participants overlay. -
In the Add participants overlay, update the template properties as needed:
- Template name - Enter a clear, descriptive name that reflects the template’s purpose.
- Template Type - Select how the template is used:
- Document
- Form Field
- Both
- Who can use this template - Define who can access and use the template.

Select Preview & add fields to save the edits.
This returns you to the field authoring environment. -
Select Update to complete updating the template properties.
Field details
- Template name
- Helps users identify the correct template in the library.
- Use a consistent naming pattern so shared templates are easier to find and manage.
- Template Type
- Defines how the template is used.
- Document stores the underlying document content.
- Form Field stores only the field layer, which can be applied to another document.
- Both stores the document and its form fields in one template.
- Who can use this template
- Controls who can access and use the shared template.
- This control is a dropdown menu with four options:
- Only me. Only the template owner can use the template. The template is not shared and is not visible on the Shared Libraries page for other users.
- Any user in my group. Allows users in the template owner’s primary group to access and use the template.
- Users in one or more groups. Allows the user to select one or more groups that can access and use the template. This option requires Users in multiple groups to be enabled, and the user must be a member of multiple groups
- Any user in my organization. Allows all users in the account or organization to access and use the template.
Admin scope
- Group-level administrators can edit library templates shared to their group by users in that group.
- Account-level administrators can edit library templates shared to their group or to the organization.
- Account-level administrators can view shared templates from all groups.
Things to know
- This page applies only to shared library templates. Web forms are not included in the shared library list.
- Only templates shared through template permissions appear in Shared Libraries. Templates shared through user account sharing, including advanced sharing, do not appear in this list.
- Changes apply immediately after saving.
- Updated settings apply to future use of the template; in-progress and completed agreements are not impacted.
