Sharing restrictions for asset protection

Wondering why you are receiving errors like the one below when sharing links or inviting collaborators to Creative Cloud or Document Cloud assets?

"Enterprise Sharing Restrictions Enabled. This user can’t be invited because your organization has enabled sharing restrictions. Learn more."

What is causing this message?

Enterprise sharing restrictions refer to a feature called Asset Settings that your IT administrator has used to strengthen security control of your organization’s assets. It can save you from accidental violation of your organization’s data ownership and security policies.

Sharing restrictions are only applied to content owned by an organization. They do not apply to content created by users with a personal Adobe ID.

Your IT administrator can select from three options within Asset Settings, each indicating a different level of sharing restriction:

  • No restrictions: It is the default setting. Users are allowed to share public links, access Content Schedule in Express to publish posts to social media, and collaborate on shared folders and documents with anyone inside or outside your organization.
  • No public link sharing: Restricts public link sharing and other public publishing options (see the full list below). Users can still collaborate on folders and documents with anyone outside your organization.
  • Sharing Limited to Org Members and Trusted Users: Restricts public link sharing and other public publishing options. It also prevents invitation-based folder and document sharing with individuals outside the org, claimed domains, trusted domains, and allowed external domains. Your IT administrator sets this collaboration restriction for each external organization (or domain), not for each external individual.

The following sharing and publishing functionalities in Creative Cloud and Document Cloud are impacted when either No public link sharing or Sharing Limited to Org members and Truster Users is selected:

  • You can't enable or disable Frame.io sharing on the Admin Console.
  • Starting August 15, 2024, all new Lightroom shares will follow Enterprise sharing restrictions. These restrictions will also apply to existing shares starting December 5, 2024.

Adobe Acrobat Sign features are not affected. The features continue to work as expected.

Impact of changing Asset Settings

No restrictions is the default setting, but IT administrators can change this to a more restrictive setting. If this occurs, then users can no longer access Content Schedules in Adobe Express and scheduled posts are paused from being published to social media. Also, existing and future sharing is impacted.

If No public link sharing is set, any existing public links to organization content are disabled or deleted and new public links cannot be created. Users can no longer access Content Schedules in Adobe Express and scheduled posts are paused from being published to social media.

If Sharing Limited to Org Members and Trusted Users is set, then any existing public links to organization content are disabled or deleted, scheduled social media posts are paused, and any sharing with users or groups outside of the organization or its claimed, trusted, or allow-listed organizations is removed. New public links cannot be created and social media posts can't be published. Also, sharing with users that are not org members or trusted users is denied.

To change future sharing abilities, the IT administrator can change the setting to a less restrictive option.

Possible actions

If you encounter issues with Enterprise sharing restrictions and if you want to continue sharing organization-owned assets with specific external organizations or individuals, you can contact your IT Admin to request the following:

  • For an external organization, such as an agency: Ask your IT administrator to add the agency's domain to your organization's list of authorized domains that you are allowed to collaborate with.
  • For a freelancer: Ask your IT administrator to issue the individual a company-owned ID.
