AEM Document Security 11.0 Extension for Microsoft Office Release Notes

What's new in AEM Document Security 11.0 Extension

  • Mutual Authentication: AEM Document Security Extension supports Mutual Authentication also known as 2-way authentication. To configure and use Mutual Authentication, see, CAC and Mutual Authentication documentation. 
  • Microsoft Office 2013:  In addition to Microsoft Office 2007 and Office 2010, AEM Document Security Extension now supports Office 2013 (32-bit) and Office 2013 (32-bit) desktop applications installed as part of Office 365.
  • Ribbon-less user interface: AEM Document Security Extension has added support for ribbon-less user interface. For more details, see Enable ribbon-less user interface.
  • Privacy Notice: On opening a document that has Extended Usage Tracking enabled, a privacy notice dialog box appears. The notice informs the user that the document usage is being audited. Now, you can control the behavior of the privacy notice. For detailed steps to enable or disable privacy notice, see LiveCycle Administration Help.
Opmerking:

Disabling the privacy notice does not disable document usage auditing. Actions such as document open, print, close, and many more can still be audited.  

Installation and configuration instructions

Review the information in this document before you install AEM Document Security 11.0 Extension for Microsoft Office. For detailed installation instructions, see Installing and Configuring AEM Document Security 11.0 Extension for Microsoft Office topic.

This version of Document Security Extension for Microsoft Office is compatible with Adobe LiveCycle Rights Management ES2 or later and Document Security add-on for Adobe Experience Manager 6.0 Forms feature pack 1. Also, ensure that there are no third-party plug-ins added to your Microsoft Office installation.

To install the software, run the downloaded AEMDocumentSecurityExtensionforMicrosoftOffice.exe file, as an administrator. For detailed installation and configuration instructions, see Installing and Configuring Adobe Experience Manager Document Security Extension for Microsoft Office.

Opmerking:

Do not install the software in a folder whose name contains double-byte characters. If you do so, the Adobe Document Security menu does not appear in Microsoft Office.

Enable ribbon-less user interface

You can enable/disable the ribbon-less user intreface by modifying settings in Windows Registry. Perform the following steps to update Registry and enable ribbon less user interface:

  1. Take a backup of Windows Registry before you make changes to it. For detailed instructions, see How to Modify the Windows Registry.
  2. In the Registry Editor, navigate to HKEY_CURRENT_USER\Software\Adobe\LiveCycle Rights Management ES4\11.0.0 or HKEY_LOCAL_MACHINE\Software\Adobe\LiveCycle Rights Management ES4\11.0.0
  3. Set value of the HidePluginUI property to 1 to enable ribbon-less user intreface.
  4. Close the Registry Editor.

Enable watermark for printing in Microsoft Excel

Document Security Extension provides a registry setting to make dynamic watermark co-exist with existing headers and footers. The registry settings make the watermark available only during the printing. Perform the following steps to update Registry and enable watermarks during printing:

  1. Take a backup of Windows Registry before you make changes to it. For detailed instructions, see How to Modify the Windows Registry.
  2. In the Registry Editor, navigate to HKEY_CURRENT_USER\Software\Adobe\LiveCycle Rights Management ES4\11.0.0 or HKEY_LOCAL_MACHINE\WOW6432NODE\Software\Adobe\LiveCycle Rights Management ES4\11.0.0
  3. Create a new Registry key WatermarkMode.
  4. In the WatermarkMode registry key, create a DWORD WatermarkMode, and set value of DWORD WatermarkMode to 1.
  5. Close the registry editor.

System requirements

  • Microsoft® Windows® 7 (32-bit and 64-bit)
  • Microsoft Office 2007, 2010, 2013 (32-bit), or 2013 (32-bit) desktop applications installed as part of Office 365
  • 1.3 GHz processor or higher
  • 2 GB of RAM
  • 75 MB of available hard disk space

Fixed Issues

  • For a few specific senarios, the copy permissions are not honoured. Users are able to copy secured content from a secured document. (Ref# 3753465 )
  • In Microsoft Excel, on adding headers and footers and performing the Save As operation, the applied policy is removed. Moreover, the headers and footers are also not retained. (Ref# 2790163)
  •  In Microsoft Excel, dynamic watermarks replace existing headers and footers.
    Now, Document Security Extension provides a registry setting to make dynamic watermark to co-exist with existing headers and footers. For detailed steps, see Enable watermarks for printing (Ref# CQ-46307)
  • On opening a Microsoft Excel document which is protected by a policy having anonymous user and dismissing the tracking dialog, Microsoft Excel stops responding and closes unexpectedly. (Ref# 3822346 ) 
  • On closing a protected Microsoft PowerPoint file, the close event is not sent to server (Ref# 3803672)

Known issues

Third-party plug-ins not supported 

AEM Document Security 11.0 Extension for Microsoft Office does not work with third-party plug-ins. Uninstall any third-party plug-ins for Microsoft Office before you install Document Security for Microsoft Office.

Disabled menu options in Microsoft Word, Excel, and PowerPoint

AEM Document Security 11.0 Extension for Microsoft Office uses built-in protection features to protect documents, worksheets, and presentations. This implementation may disable some Excel, Word, and PowerPoint menu options.

"Protected by AEM Document Security" is not displayed in the title bar

For PowerPoint 2010 presentations protected by AEM Document Security 11.0 Extension for Microsoft Office, the phrase "Protected by AEM Document Security" is not displayed in the title bar beside the filename. You can see this phrase in the taskbar.

Document Template command in Microsoft Word 2007 is unsupported

The Review > Changes > Share Workbook feature is disabled in a protected session. The documentation states incorrectly that it is restricted only by the Copy permission.

New restrictions for Microsoft Word and Excel, 2007, and 2010

In Microsoft Word and Excel 2007 and 2010, the following options are unavailable during a protected session:

  • Office button > Workflows
  • Office button > Server > File Server Tasks Menu
Opmerking:

The ability to start a workflow from the 2007 or 2010 versions of Word, Excel, and PowerPoint is available only in the Office Professional Plus, Office Enterprise, and Office Ultimate suites 2007 and 2010 versions, as well as in the stand-alone 2007 and 2010 Office release versions of these programs.

New restrictions for Microsoft Excel 2007, 2010, and 2013

In Microsoft Excel 2007, 2010 and 2013, the following options are unavailable during a protected session:

  • Office Button > Prepare > Encrypt Document
  • Office Button > Prepare > Add a Digital Signature
  • Office Button > Prepare > Mark as Final
Opmerking:

For Excel 2013, the above option are located at File > Info > Protect Workbook.

Advanced Properties menu disabled Microsoft Excel 2007, 2010, and 2013

For Microsoft Excel 2007, 2010, and 2013 files that are protected by Document Security Extension for Microsoft Office, the structure of the workbook is protected. This protection of the workbook disables certain functionality. For example, the Advanced Properties menu is disabled for protected Excel documents.

Opening a protected document from SharePoint Server

Opening the protected document: If you try to open a protected document in Document Security Extension for Microsoft Office from SharePoint Server without first opening the Microsoft Office program associated with the file type, such as Microsoft Word, Microsoft Excel, or Microsoft PowerPoint, the document may not open. An error message displays indicating that you install the applicable plug-in. Hence, it is recommended that you open the associated Microsoft Office program, before you open a protected document in Document Security Extension for Microsoft Office from SharePoint Server.

(Optional) It is recommended that you clear your cache folder before opening a protected document in Document Security Extension for Microsoft Office from SharePoint Server.

After opening the protected document: When you open a protected document from SharePoint Server, all permissions on the document are disabled, regardless of the policy that was applied.

Microsoft PowerPoint clipboard advisory

Microsoft PowerPoint 2007 users who have the permission to modify the document but do not have permission to copy any of its content cannot use the clipboard to copy and paste content within the document.

Apply a policy with a dynamic watermark to an Excel 2007 or 2010 file with no printer installed

When you apply a policy with dynamic watermark to an Excel 2007 or 2010 file on a computer that has no printers installed and then save the file, the following error appears: "Internal error while applying dynamic watermark." This error also appears when you reopen the protected file. The watermark is not applied and it is not visible from View > Page Layout.

Disable DEP for Document Security Extension-supported Office applications

It is recommended that you disable the Windows Data Execution Prevention (DEP) setting when using Document Security Extension-supported Office applications.  

Shared Excel file cannot be protected using Document Security Extension 

When you protect an Excel file using Right Management Extension, the Share Workbook feature becomes disabled, and you cannot secure the file. If you try to protect an Excel file that is already shared, Document Security cannot secure the file.

Starting Office applications on a machine with Document Security and McAfee VirusScan

To ensure that Office applications start smoothly on a machine that has Document Security installed and McAfee VirusScan with On-Access Scan enabled, disable the Buffer Overflow Protection option in the McAfee VirusScan Console.

Installing Document Security on a machine with an unsupported Microsoft Office language

Before you install the Document Security Extension plug-in on a machine that has a Microsoft Office application with an unsupported language, open the Office application at least once, before you attempt to install Document Security Extension.

Synchronize Off-Line button is enabled even when a user does not have offline permissions

The Synchronize Off-Line button is available even though the user does not have offline permissions for the document. However, selecting the button does nothing.

Unable to open a protected Microsoft Office files  

If the protected view of the Microsoft Office is enabled, the Right Management Extension cannot open protected Microsoft Excel files (XLS, XLSX) and protected Microsoft PowerPoint (PPT) files from a remote location.  

Cells of Microsoft Excel document containing an image or background color appear on top of watermark

If a cell of a Microsoft Excel document contains an image or is filled with background color and a dynamic watermark policy is applied to the document, then the image or the background color filled in the cell appears on top of the watermark and cover the watermark.  

Usability issue with multiple certificates

If multiple certificates are present on the client machine and the user cancels the certificate selection dialog, then the dialog appears once again and the user has to cancel the dialog twice.
