Overview

Adobe Acrobat Sign for Coupa BSM Suite: Installation Guide explains how to configure your Adobe Sign account to integrate the Coupa BSM Suite instance for getting signatures.

Prerequisites:

To install Acrobat Sign for Coupa BSM Suite, you must:

Configure Adobe Sign Group for Coupa BSM Suite

To have a dedicated usage of Adobe Sign for Coupa within an organization, the administrators must create an Adobe Sign group specifically for Coupa BSM Suite usage. This Adobe Sign group should have a single group admin user account that acts as the service account. Since this service account is used for all signature requests, it should be kept anonymous, for instance, Legal@xyz.comPurchasing@xyz.com, or CoupaCLM@xyz.com, rather than personal, such as Bob.Smith@xyz.com.

Create a Group and a User in Adobe Sign

  1. Log in to Adobe Sign as the account administrator.

  2. Navigate to Account Users.

  3. To create a new user, click the plus icon image icon.

  4. In the dialog that opens, provide the new user details:

    1. Provide a functional email that you can access.

      • This user establishes and maintains the OAuth relationship.
      • The email address must be an actual address for verification.
    2. Enter appropriate values for First Name and Last Name.

    3. In the Primary Group field, select Create a new group for this user.

    4. In the New Group Name field, provide an intuitive group name like Coupa BSM Suite.

  5. Select Save.

    Once you save the details, the Users page shows the new user with a CREATED status.

  6. To verify the email address:

    1. Log in to the new user’s email.
    2. Find the “Welcome to Adobe Sign” email. Check spam/junk folders if needed.
    3. Click where it says Click here to set your password.
    4. Set the password.

    Once you verify the email address, the status of the user changes from CREATED to ACTIVE.

Define the authenticating user

Once you create a Group and a User in that group, you must make the user a ‘Group Admin’.

To promote the new user in the Coupa BSM Suite group:

  1. Navigate to the Users page (if not already there).

  2. Double-click on the user.

    It opens an Edit page for the user permissions.

  3. Under the Group Membership section, select Group Admin and Can Send options.

  4. Deselect the User is an account admin and the User can sign documents options.

  5. Select Save.

Configure the Coupa BSM Suite instance

To complete the connection between the Coupa BSM Suite instance and Adobe Sign, a trusted relationship must be established between the services.

To configure the Coupa BSM Suite:

  1. Connect your Coupa BSM Suite instance to your Adobe Sign service account that you created above.
  2. Create an Adobe Sign webhook instance to notify your Coupa BSM Suite instance about updates to agreements.

Create Webhook in Adobe Sign

The Coupa CLM integration uses webhook notifications from Adobe Sign to send updates about the state of the agreement. It’s critical to complete the webhook setup else the agreements sent for signature stay incomplete or the signed agreements are not delivered back into Coupa CLM.

To create a webhook in Adobe Sign:

  1. Log in to Adobe Sign using the group admin user created above, for example, coupaclm@MyDomain.com.

  2. Navigate to Groups > Webhooks.

  3. To create a new connection, select the plus icon image icon.

  4. In the Create dialog that opens, fill in the required fields.

    Note: You need to obtain the Url for the webhook handler from Coupa.

  5. Select the required notification parameters.

  6. Select Save.

Adobe Sign is the integration partner and should be contacted if the integration is failing to obtain signatures, or if notification of pending signatures fails.

For help with using or configuring Adobe Sign, you may contact your Customer Success Manager (CSM) or contact Adobe Sign support.

Adobe Sign administrators can also open tickets and obtain support via the Help (?) in the upper right of the Adobe Sign portal.
