Learn best practices for preparation, setup, and extending transcript use across your projects.
Overview
Adobe Captivate’s Generate transcript feature not only supports accessibility through closed captions but also helps creators repurpose transcripts for narration, summaries, and more. By following best practices, you can maximize the value of transcripts, ensuring clarity, consistency, and flexibility across your eLearning projects.
To improve the quality of your transcripts with AI refinements, see best practices for effective text generation to learn how to write prompts that fine-tune transcript output.
Preparation and setup
- Enable closed captions: Always ensure closed captions are enabled under Publish settings in your Project properties before generating transcripts.

- Plan your content: Review slide content for clarity and completeness before generating transcripts.
 - Test different styles: Experiment with concise and elaborate options to find the best fit for your content.

Managing AI avatars
When using AI avatars alongside transcripts, prevent audio conflicts by following these guidelines:
- Single slide management: To disable the avatar on a specific slide, select the slide, open the Visual properties panel, scroll down to Settings, and turn off Enable Avatar.

- Project-level management: To disable avatars across the project, turn off Enable avatar on all slides in Project properties.

- For complete removal: Disable the avatar entirely from the Generative AI preferences.

Extending the use of transcripts
Transcripts can be refined and repurposed in multiple ways beyond captions:
- Create slide summaries: Transform transcripts into concise summaries for recap slides or learner handouts.
 - Refine with generative text: Use AI prompts to adjust tone, complexity, or style for different audiences.
 - Voice-over scripts: Use transcripts as consistent scripts for AI voices or human narrators.
 - Reinforce learning objectives: Adapt transcripts into key takeaways, reflection prompts, or knowledge checks.
 - Multilingual adaptation: Translate transcripts with AI to localize courses for global learners.
 - Executive summaries: Convert transcripts into short overviews for managers and stakeholders.
