Guidelines for sharing PPTX files

Best practices and cautions when sharing Microsoft Powerpoint presentation files in an Adobe Connect room.

Share a presentation

You can upload PPT or PPTX files directly into a Share pod in an Adobe Connect room using either the Adobe Connect application or your browser.

  1. Select the Pods menu, select Share, and then select New share pod.
  2. Select Document to open the file selection dialog.
  3. Select Browse my computer and choose the presentation on your computer.
  4. Select Open.
  5. To share the file in the Share pod, do either:
    • Select the PPTX file and then select Share to share the file in the Share pod. 
    • Drag and drop your PPT or PPTX file into the Share pod.

Handling upload issues

When uploading PPT or PPTX files to an Adobe Connect session, it is important to be aware of certain limitations and recommendations to ensure a smooth viewing experience for all participants. Adobe Connect provides alerts to inform users about potential issues with their PPT or PPTX files.

Custom fonts detected

Cause

Adobe Connect needs font information to display the text in slides correctly. If this information is missing, a default font will be used instead, which may cause formatting issues in the slides

Recommendation

Embed the fonts in the PPTX file before uploading it. 

Windows: To embed fonts in Microsoft PowerPoint, follow these steps:

  1. Open your PowerPoint presentation and go to the File tab.
  2. Select Options from the menu.
  3. In the PowerPoint Options window, click on Save in the left pane.
  4. Under the section Preserve fidelity when sharing this presentation, check the box next to Embed fonts in the file.
  5. You will have two options to choose from:
    • Embed only the characters used in the presentation (best for reducing file size).
    • Embed all characters (best for editing by other people).
  6. Click OK to save your changes.

Unsupported animations

Unsupported animations on the first slide

Cause

During a session, the first slide of a PowerPoint presentation will be visible in the share pod within the layout. Adobe Connect needs an explicit trigger from the host to recognize the start of the presentation and render the animation. Therefore, animations on the first should be set to Start on click.

Recommendation

The first animation on the first slide should always be set to 'Start on Click'"

Unsupported animations used

Cause

Adobe Connect currently does not support some MS PowerPoint animations. These animations will not be rendered.

Recommendation

Replace any animations that are not supported.

Unsupported transitions

Cause

Adobe Connect currently does not support all the transitions offered by MS PowerPoint. Unsupported transitions will not be rendered.

GIF images detected

Cause

Adobe Connect currently doesn't support gif images in a presentation.

Recommendation

Ensure you do not use any gif images in the presentation.

Multiple MP4 videos detected

Cause 

Adobe Connect currently does not support more than one MP4 video on a slide.

Recommendation

Add only one Mp4 video on a slide. Move other videos to other slides.

Unsupported image formats

Cause

Adobe Connect currently supports images in JPG and PNG formats within PPTX files. Images in other formats will be converted to JPG or PNG, which might cause rendering issues.

Recommendation

Use JPG or PNG format for images in presentations. Review slides with images in other formats for potential rendering issues.

Export the issues to a file

Select Export issues (.CSV) to download a CSV file with details of the detected issues for tracking, troubleshooting, or sharing with your team.

The CSV file contains a list of issues detected during the PowerPoint import process. Here’s a breakdown of its structure:

  • Issue: The type of issue found (for example, Custom fonts detected, Unsupported animation used).
  • Description: A brief explanation of the issue and recommended action (for example, Embed fonts in the PPTX file before uploading to prevent formatting issues).
  • Slide Numbers: The specific slides affected by the issue (for example, "Slide 1, Slide 2, Slide 8").

PowerPoint presentation best practices

  • After uploading, navigate through each slide to confirm fonts, graphics, and animations are displaying as expected.
  • Open the sidebar by clicking the Show Side bar icon, then select Outline to view your slide titles. Select any slide title to jump to that slide.
  • Show Side bar to view your PowerPoint notes or search for a word on a slide.
  • Show Presentation Playbar to control playback of animations, audio, and video.
  • If your slides don't convert as expected, select Stop Sharing and reshare the presentation.
