Manage groups in Adobe Acrobat Sign

Organize settings, templates, and agreement behavior by using groups.

Groups allow administrators to segment configuration within Adobe Acrobat Sign so different teams, processes, compliance requirements, or reporting structures can operate with their own settings, branding, and document access. Each group defines how agreements behave when sent, including default values, security controls, and workflow behavior. Using groups ensures agreements follow the correct policies and prevents configuration conflicts across your organization.

What are groups?

A group is a configuration boundary within Adobe Acrobat Sign. Each group can define its own:

  • User groups in relation to reporting pathways.
  • Agreement settings and defaults.
  • Security and authentication requirements.
  • Email and notification behavior.
  • Branding and sender identity.
  • Access to library templates and workflows.

Group-level settings override account-level settings and set the default values for agreements generated in that group.

How groups are used

Groups are typically used to:

  • Separate business units or departments.
  • Align users to reporting structures.
  • Apply different compliance or regulatory controls.
  • Manage distinct workflows or approval processes.
  • Control access to templates and shared resources.

If Users in Multiple Groups is enabled, users can operate across multiple groups, and the selected group determines which settings are applied when sending agreements.

  • Only account-level administrators can create, rename, or delete groups.
  • Group-level settings override account-level settings.
  • Group-level settings define the default behavior for agreements generated from the group.
  • Users inherit group-level settings based on their active group.
  • If Users in Multiple Groups is not enabled, users can belong to only one group at a time.
