Guidelines for sharing PPTX files

Best practices and cautions when sharing Microsoft Powerpoint presentation files in Adobe Connect meeting room.

Use the best practices listed below when sharing PPTX files in Adobe Connect. These practices are not required for sharing PPT files.

You can upload PPTX files either directly to a Share Pod in an Adobe Connect Meeting. Or, you can upload them to the Adobe Connect Content library.

When sharing directly from the computer in an Adobe Connect Meeting Room, do the following:

  • Use the Adobe Connect application for desktop to attend or conduct sessions. Adobe Connect prompts you to install the Adobe Connect application for desktop when you share a PPTX file for the first time.
  • Make sure that the computer that you're uploading from has Microsoft PowerPoint installed. 
  • Make sure that the computer you're uploading from doesn't have any Microsoft PowerPoint modal dialog boxes open. 
  • If you have Adobe Presenter, you can to publish locally (My Computer) as a Zip Package and then share the Zip Package

When uploading content to the Adobe Connect Content library for sharing in a Connect Meeting Room, do the following:

  1. Save the PPTX as a PPT and then upload the PPT file. 
  2. Use Adobe Presenter to publish locally (My Computer) as a Zip Package. Upload the zip file to the content library or publish directly from Adobe Presenter to the Adobe Connect content library.

  • User the sidebar to do nonlinear navigation
  • Use the sidebar for notes or talking points

Ways to improve Captivate performance

  • Keep captures short; try to divide longer sections into segments under two minutes each.
  • If you want audio, then set compression values to lowest audio quality.
  • Eliminate audio, which is one of the heaviest parts of the download. Narrate it yourself during the meeting.
  • Lower JPEG image quality.

Convert video to FLV

  • Publish as FLV from Adobe Premiere, After Effects, or other video editors
  • Convert to Flash 8 or 9; SWF files and FLV files (now with C9 you can publish for Flash 10 or 11)
  • Load FLV into the room

VoIP

  • Check https://my.adobeconnect.com/microphones for microphone suggestions.
  • Turn speakers down or off or wear a headset.
  • Run the Audio Setup wizard from Meeting menu.
  • Choose Multiple or One speaker.

Recordings

  • Use layouts to create index.
  • URLs that are shared with WebLinks Pod are not recorded.
  • You cannot poll from a recording.
  • Unsynchronize content (PPT and Adobe Captivate) during the meeting if you want users to be able to interact with the content in the archive.
  • Move recordings to Content area to control permission or see usage reports.
  • To launch a recording to a specific time point in a recording, use archiveOffset. For example, http://my.adobeconnect.com/{recording_id}/?archiveOffset=60000.
  • Offset is in milliseconds so multiply minutes by 60,000 to get offset value. That is, if you want to start the playback one minute into the recording you make the offset as 60,000.

Unsupported features in Adobe Presenter HTML output 

  • Shadow Effect in PowerPoint presentations is not visible in Flash and HTML.
  • Slide index in PowerPoint presentations may not be reflected correctly.
  • HTML client users cannot set the volume of the shared presentation using the volume button even when the Host disables sync.
  • PPT/PPTx content appears blurry in comparison to Flash counterpart.
  • Text/images animations are bypassed if a Host clicks on the next slide button in the sync disabled state.
  • While converting PPT to PPTx, PPTConverter loses image hyperlinks so image hyperlinks in the presentation are lost in HTML and Flash.
  • Multilingual PPT not rendered correctly after being converted to Hybrid content.
  • 3-D Effects lost in Flash when PPT is published.
  • Linked Audio does not play in Flash and HTML.
  • Linked Video does not play in HTML view and Flash.
  • Animations and hyperlinks on grouped objects.
  • GIFs embedded in the slide.
  • Fill color property in graph objects.
  • Bullet animations.
  • Slide entrance animations.
  • Color-based animations.
