Overview

Adobe Acrobat Sign can be incorporated with the Power Automate – PowerApps ecosystem to provide you a smooth digital signature experience. It allows you to prepare and review the agreements prior to signature, send and recieve notifications, and archive the documents after the agreements are signed.

Adobe Acrobat Sign for Microsoft Power Apps and Power Automate can be used to: 

  • Start a signature process from a service trigger.
  • Get the status of a Sign process.
  • Move documents from the Sign service to other repositories.
  • Get data from an approval workflow.

Microsoft Power Automate

Microsoft Power Automate is a tool that connects different apps and services into coordinated multi-step workflows so that repetitive tasks can be automated without the need for complex API coding. 

There are three Power Automate concepts that drive all workflows. The first is that all services can expose their API through a Connector to the service.  Connectors may have Triggers that start workflows.  Connectors must have Actions that drive what happens within the workflow.  There are common logical connectors between actions that control the workflow based on parameters generated by previous actions

Microsoft PowerApps

PowerApps is a suite of apps, services, connectors and data platform that provides a rapid application development environment to build custom apps for your business needs. Using PowerApps, you can quickly build custom business apps that connect to your business data stored either in the underlying data platform (Common Data Service) or in various online and on-premises data sources (SharePoint, Excel, Office 365, Dynamics 365, SQL Server, and so on).

Apps built using PowerApps provide rich business logic and workflow capabilities to transform your manual business processes to digital, automated processes. Further, apps built using PowerApps have a responsive design, and can run seamlessly in browser or on mobile devices (phone or tablet). PowerApps "democratizes" the custom business app building experience by enabling users to build feature-rich, custom business apps without writing code.

Microsoft GovCloud (GCC) Support

Adobe Acrobat Sign functions as expected in the GCC environment, with only a few limitations that are enforced by the environment.

Check here for full details on the GCC limitations from Microsoft. 

As a result, not all templates that are available for the public are available under GCC rules.

Prerequisites

Adobe Acrobat Sign for Microsoft Power Automate and Adobe Acrobat Sign for Microsoft PowerApps require an active enterprise service plan with Adobe Acrobat Sign.

Access the Power Automate Interface

To access the Power Automate interface:

  1. Log into your Microsoft 365 organization.
  2. Select the applications icon at the top-left of the window, and select Power Automate. 
    It redirects you to the Power Automate home page: flow.microsoft.com.

    If the Power Automate option is not available to you, contact your Microsoft 365 administrator.

  • Select the Connectors link from the left panel.
  • Type Adobe Acrobat Sign into the Search field.
  • Select Adobe Acrobat Sign connector.

Access the PowerApps Interface

To access the Power Apps interface:

  1. Go to powerapps.com
    Note: You must have an appropriate PowerApps license. If you do have the license, contact your Microsoft 365 administrator for help.
  2. From the left panel, select Data > Connections.
  3. In the Search field, type Adobe Acrobat Sign.
  4. Select the Adobe Acrobat Sign connector.
Power App Connectors

You can create two types of apps: Canvas and Model-driven apps.

Build Apps

While creating your app, you can add a workflow or task with Adobe Acrobat Sign using the native integration of Power Automate inside PowerApps. To do so:

  1. In the app design interface, select an object in the app.
  2. Select Action.
  3. Select Flow to configure the workflow.

Adobe Acrobat Sign Connection Types

When applications are added to a flow (either by adding a template or in a blank flow), the user is required to create an authenticated connection to that application.

Click the three dots to the right of the application name and either select an existing connection or Add a new connection:

When adding a new connection for Adobe Acrobat Sign, three types of connections can be created, depending on the authority level the user has in Adobe Acrobat Sign:

  • Adobe Acrobat Sign user (All users can create this connection type)
  • Adobe Acrobat Sign group admin (Adobe  Acrobat Sign group and account administrators can create this connection type)
  • Adobe Acrobat Sign account admin (Only Adobe  Acrobat Sign account administrators can create this connection type)
Note:

All three options are available to every user. If the user attempts to make a connection above their authority level, an error is generated.

Connection types

Connecting as an admin allows the administrator to execute the flow for other users within the scope of their authority:

  • Group administrators can execute flows on behalf of any user that has defined their primary group as a group under the admin's authority
  • Account-level administrators can run flows on behalf of any user in the account

To enable sending on behalf of another user, you must enter a value in In the name of field under advanced options.

The field can be configured with either a dynamic value (User email) or a literal string in the format: email:adobeuser@domain.com

Connection Sharing Restrictions

In Power Automate, Power Apps, and Logic apps, flows can be shared by:

Any flows with an Admin type of connection should only be shared with run-only permissions that require the user to provide their own connection credentials.

In the case where the flow owner wants to allow use of their connection credentials, the flow must be defined with a dynamic value for the In the name of field.

Caution:

Users added as owners or co-owners have access to the connections used, and have the authority to execute and edit the flow.

Flows with Admin connection types should not be shared by adding additional owners or lists. Access to the In the name of field presents the opportunity to impersonate other users, and should be tightly controled.

Note:

A copy of the flow can be shared to other users for them to use as a template.

Adobe Acrobat Sign Triggers

Triggers

A trigger is an event or change that is used to start a workflow.

Adobe Acrobat Sign triggers are predicated on changing values within the Adobe Acrobat Sign application, which means that a Webhook must be established to trap and pass meaningful changes.

  • Every trigger requires a Name value which is any identifiable string the user wants to use
  • Every trigger requires a Scope. This limits the number of agreements that are included in the webhook, and as a direct result, the number of times the workflow is triggered
    • Scope is important when a workflow is designed that encompasses more than the individual user
    • Only Adobe Acrobat Sign Account admins can create a workflow with an Account level scope, which would trigger for every agreement created in the account, regardless as to the user that originally created it
    • Adobe Acrobat Sign Group admins can only create Scopes for their group in Adobe Acrobat Sign. This type of workflow would trigger for every agreement created by users within the admins group
    • Flows created by Adobe Acrobat Sign users that are not privileged as admins, but define a scope at the Account or Group level, will never trigger
  • By configuring your trigger, MS Power Automate generates a unique HTTPS URL unique to that workflow and automatically registers that with Adobe Acrobat Sign
Note:

It's worth noting that Adobe Acrobat Sign actions do not require an Adobe Acrobat Sign trigger to be used. 

If you have another source for your triggers, then the Adobe Acrobat Sign actions are still viable in your workflows.

When an agreement is sent to a participant - 2020

Note:

The signature requested event gets broadcasted for both when you are the sender, and when your signature is requested. This means:

Case 1: Sender will receive notifications, whenever a signature request is made by me.

Whenever the sender has asked for signatures, the sender will be notified on the webhook URL she provided while creating the webhook.

Case 2: Signer will receive notifications, whenever a signature request is made for them.

Whenever the agreement arrives asking for my signatures, the signer will be notified on the webhook URL they provided while creating the webhook.

 

Differentiating the two cases:

The webhook payload data specifies the participant email on triggers created for "Any of my agreements". 

For the Sender side, the participant email will not be equal to the user’s email who created the webhook.

For the Signer side, the participant email will be equal to user’s email who created the webhook.

Adobe Acrobat Sign Actions

Actions 

An action represents what you want to happen after the workflow is triggered. Actions allow users to perform operations that can create, send, or evaluate agreements associated to the users of an Adobe Acrobat Sign account.

Each action has one or more required (and/or optional) inputs that are needed for the action to be implemented correctly. These inputs come from triggers or other actions earlier in the workflow.

The action produces an output that is either a desired asset (a downloaded agreement in the form of a file stream) or values to be used in subsequent actions.

  • A post-signing redirect can be specified by providing a URL and redirect delay.
