Edit document content during authoring

Edit PDF text, links, and images while preparing agreements or library templates.

Adobe Acrobat Sign allows you to update document content directly in the authoring environment before sending an agreement or saving a reusable library template. Use document editing to make minor updates without downloading, editing, and re-uploading the file.

Document editing is separate from field authoring. After you edit document content, review the form fields to make sure they still align with the updated text and images.

Before you begin

Document editing is being rolled out in a phased release. Check the Technical notifications for the schedule:

Document editing must be enabled by your administrator for the workflow you’re using.

You can edit document content only while the agreement or template is being prepared. After an agreement is sent, the document content can’t be edited through this authoring workflow.

Document editing supports single-document agreements and single-document library templates using supported file types.

Start editing while sending an agreement

Create a new agreement and upload a document.

Add recipients and configure the agreement settings.

Select Preview & Add Fields to open the authoring environment.

Select Edit document to make the document content editable directly inside the authoring environment.

Start editing while creating or editing a library template

Start creating a library template or open an existing library template for editing.

Add or open the template document.

Continue to the authoring environment.

Select Edit document.

Edit text, links, and images

After you select Edit document, the document content becomes editable in the authoring environment.

Supported text actions include:

  • Editing existing text
  • Adding text
  • Removing text
  • Updating text formatting
  • Editing hyperlinks

Supported image actions include:

  • Adding images
  • Rotating images
  • Deleting images

Caution

Editing text or images can shift surrounding content and affect field placement. Even small edits can move nearby fields, especially in tightly formatted documents.

The editing mode is designed for quick inline revisions such as correcting dates, pricing, names, and hyperlinks before sending.

Return to field authoring

After editing the document content, return to field authoring to review and place fields.

You can return to field authoring by:

  • Selecting the field authoring icon.
  • Closing the editing panel.
  • Selecting an existing form field.

Review fields and finish

Before you send the agreement or save the template, review all form fields.

  1. Confirm that each field is still placed correctly.
  2. Move any fields that shifted during editing.
  3. Add any remaining fields.
  4. Send the agreement or save the library template.

For agreements, recipients review and sign the edited version of the document.

For library templates, the edited document content becomes part of the reusable template. Agreements created from the template use the saved version of the document.

Limitations

Document editing is available only for:

  • Single-document agreements
  • Single-document library templates
  • Supported file types

Document editing is not supported for:

  • Agreements or templates containing multiple documents
  • Scanned documents
  • Password-protected files
  • Encrypted files
  • Page insertion
  • Page removal
  • Document reordering

Image editing supports adding, rotating, and deleting images. Other image changes are not supported.

Things to know

  • Document editing is available only before an agreement is sent or before a library template is saved.
  • Existing form fields remain attached to the document where possible during editing.
  • Text, hyperlinks, and supported image edits are included in the final signed PDF or saved library template.
  • Editing document content can shift field placement.
  • The Edit document option may be unavailable if the uploaded document is unsupported.
  • If the document can’t be edited, update the original file and upload the revised version.
