Use All files to view and manage every file available to you in Analyzer from one place.
All files is the complete file inventory for your account. It includes files uploaded directly to Analyzer and files available through collections you can access. A file can appear in All files and in multiple collections at the same time.
Unlike a collection, All files is not a separate organizational container. Removing a file from a collection leaves the file available in All files. Deleting an uploaded file from All files permanently removes it from Analyzer and from every collection that contains it.
Open All files
Select All files in the main navigation.
The page displays the total number of files available to you and a table containing the files in All files.
Understand the file table
The table always displays File name as the first column. You cannot hide this column.
By default, the table also displays:
- Date added — The date the file was added to Analyzer.
- Source — Where the file originated. Files uploaded directly show Desktop. Linked files identify their external source, such as SharePoint.
You can display up to seven columns, including File name.
When you hover over a file, Analyzer displays controls to open or tag the file.
Upload files directly to All files
Select Upload files to add files without first creating or opening a collection.
- Select Upload files.
- Drag files into the upload panel, or select Browse files to locate them on your local system.
- Add the files.
Analyzer processes the files and adds them to All files. Directly uploaded files show Desktop in the Source column.
You can later add these files to any collection you can manage.
Find files by name
Select Search to find files in the complete inventory.
Search matches file names only. It does not search document content.
Refresh attributes
Select Refresh attributes to refresh attributes for the documents in All files.
The confirmation message indicates that some attributes may have been added or updated and that refreshing can take time depending on the number of documents involved.
Choose:
- Refresh all to start the refresh.
- Skip for now to close the message and refresh later.
The refresh applies to the full set of attributes.
Customize the file table
Select Adjust attribute view to choose which metadata and extracted attributes appear as columns.
File name always remains visible. You can add up to six other columns from:
- Source
- Date added
- Attributes available to you
You can also drag selected values to change their order. Items higher in the list appear farther left in the table.
Select Apply to save the configuration or Cancel to discard your changes.
Your column selection and order persist when you leave All files and return later.
Filter the file inventory
Select Filter data to narrow the files displayed using extracted attribute values and conditions.
Filtering All files uses the same filtering model available within collections.
Work with individual files
Hover over a file to display actions for:
- Open file — Open the document to review its contents, extracted values, and citations.
- Tag document — Apply or remove the file's tag.
A tag belongs to the file itself, so its tagged state follows the file when it appears in collections.
Work with selected files
Select the checkbox for one or more files to display actions that apply to the selection.
The counter changes to show the number selected and the total number of files available. For example, 3 of 2,000 documents selected indicates that three files are selected from an inventory of 2,000.
Available actions are:
- Add to collection — Add the selected files to a new or existing collection without uploading them again.
- Download — Download copies of the selected files to your local system.
- Export extracted data — Export selected attribute values to a CSV file.
- Delete — Permanently delete eligible files from Analyzer.
Download selected files
Select Download to download the selected files.
Analyzer displays Your download should start soon. The browser downloads the files using the normal download behavior for your local system.
Share All files
Open the ellipsis menu and select Share to give another user access to All files.
Sharing uses the same access model as sharing a collection. The recipient gets access to the live inventory, so changes to the files available in All files are reflected automatically.
Understand deletion from All files
Deleting a file from All files is different from removing it from a collection.
Deleting an uploaded file from All files:
- Permanently removes the file from Analyzer.
- Removes it from every collection that contains it.
- Cannot be undone.
Files linked from an external source, such as SharePoint, cannot be deleted from All files. Analyzer blocks the deletion because the external system remains the source for the file.
