Work with suggested fields in Acrobat Sign

Use suggested fields to speed up form preparation while keeping control over which detected fields are added and who they are assigned to.

Adobe Acrobat Sign can detect locations in a document that are likely to require form fields. These locations appear as suggested fields. A suggestion is only a placeholder—it does not become a form field until you place it.

Before you begin

The recipient selected in authoring determines who receives a suggested field when you place it.

When you first enter authoring, the first recipient is selected by default. Before placing suggested fields, confirm that the intended recipient is selected.

Review suggested fields

When Acrobat Sign detects likely field locations, the document displays suggested-field placeholders.

A message reports how many suggested fields are available for the currently selected recipient and provides options to:

  • Hide suggested fields
  • Place all

You can also select an individual suggested field directly on the document to place only that field.

Once placed, a suggested field becomes a regular form field that you can move, resize, reassign, or configure.

Place suggested fields

Place an individual field

Select a suggested-field placeholder to convert it into a form field.

The field is assigned to the recipient currently selected in authoring.

After placement, configure the field as needed.

Place all suggested fields

Select Place all to convert all currently suggested fields into form fields at once.

All fields placed by this action are assigned to the currently selected recipient.

After placement, Acrobat Sign confirms how many fields were placed and who they were assigned to.

Bulk placement is most efficient when the detected fields belong to the same recipient; mixed-recipient forms typically require reassignment afterward.

Hide or show suggested fields

Select Hide suggested fields when you want to work without displaying the suggested-field placeholders.

Hiding suggestions does not remove them. You can show them again using the suggested-field visibility control.

This lets you temporarily clear the document view without losing the detected locations.

Undo bulk placement

After you place all suggested fields, the bulk-placement control changes to Undo placement.

Select Undo placement to return the fields placed by the bulk action to suggested-field placeholders.

This is useful when you placed the suggestions for the wrong recipient or want to review the detected locations again before adding them.

Work with suggestions on documents that already contain fields

When a document already contains authored form fields, suggested-field placeholders aren't initially displayed.

You can explicitly use Place suggested fields to have Acrobat Sign evaluate the document for additional detected fields.

Fields added this way behave like other placed form fields. If you delete one of these detected fields, its suggested-field placeholder remains available so you can place it again if needed.

Review placed fields

Suggested-field detection can use document context to choose a more appropriate field type or validation when possible. Automatically selected field types, names, and assignments should still be reviewed before sending.

  • Suggested fields are placeholders until you explicitly place them.
  • Placing a field assigns it to the currently selected recipient.
  • Place all assigns all suggested fields to one recipient—the recipient currently selected.
  • Hiding suggested fields doesn't delete them.
  • Automatic suggested-field detection is limited to documents with 25 pages or less.
  • Suggested fields are detection aids, not a substitute for reviewing the finished form before sending.
