Open Attributes.
Choose which attributes Analyzer extracts for every document and which attributes apply only to specific collections.
Analyzer lets you control attribute extraction at two levels. Default attributes provide a common baseline across your documents, while additional attributes can be assigned only to collections that need them. This keeps collection views focused and avoids extracting information that is not relevant to a particular document set.
Understand default and collection-specific attributes
Default attributes
Default attributes are automatically applied to every new collection, including manually created and SharePoint-linked collections. (The provided sample collecitons are not included.)
They are also the attributes available for documents that do not belong to a collection.
Configure default attributes when you want the same information extracted consistently across your document sets.
Collection-specific attributes
Collection-specific attributes apply only to the collections you assign them to.
Use them when different collections require different information. Within an assigned collection, these attributes are available in:
- The document attributes panel.
- Filters.
- Attribute columns.
- Exported attribute data.
An attribute can be assigned to more than one collection.
Configure default attributes
Select Default attributes.
Select the attributes you want applied by default.
Choose only attributes you want extracted from every document and collection.
Select Apply.
New collections automatically include the selected default attributes.
Choose attributes when creating a collection
When you create a manual collection or link a SharePoint folder, Analyzer preselects the default attributes.
Before completing the collection setup, select any additional attributes needed for that collection and remove any optional attributes you do not want applied.
Then select Apply.
Change the attributes assigned to an existing collection
You can change an existing collection's assigned attributes at any time.
Open Collections.
Locate the collection.
Open its ellipsis menu.
Select Manage attributes.
Add or remove attributes.
Select Save.
The changes apply only to that collection.
Apply an attribute to multiple collections
Use the Attributes page when one attribute needs to apply to several collections.
Open Attributes.
Locate the attribute.
Open its ellipsis menu.
Select Apply to collections.
Select the collections where the attribute should apply.
Select Apply and extract.
Understand attributes in All files
All files provides the complete attribute view for each document.
For a document that belongs to one or more collections, All files can display:
- Default attributes.
- Collection-specific attributes assigned through any collection containing that document.
If an available attribute has not been extracted for the document, it displays as Not extracted.
Understand SharePoint collection inheritance
When you link a SharePoint folder:
- Default attributes are preselected.
- You can add or remove collection-specific attributes before synchronization begins.
- Child folders inherit the parent folder's assigned attributes during the initial sync.
- Each linked child folder becomes an independent collection after it is imported into Analyzer.
- New child folders discovered later inherit the parent's current configuration.
- Changing the parent collection does not update existing child collections.
What happens when a document belongs to multiple collections
A document can inherit collection-specific attributes from each collection it belongs to.
- Each individual collection shows the attributes assigned to that collection.
- All files shows the combined set of default attributes and collection-specific attributes available for the document.
