A Knowledge Base collection is an enterprise-managed knowledge base that represents a large, curated set of documents stored in existing systems (such as internal portals or document libraries). Knowledge Base collections are:
- Owned and maintained by admins or designated owners
- Designed to scale to hundreds or thousands of documents
- Kept up to date and reused across experiences
- Built to power AI interactions at enterprise scale—not to function like individual files.
Knowledge Base collections in PDF Spaces
When you add a Knowledge Base collection to a PDF Space, the collection is linked as a single source while its files remain in their original repository. You don’t copy or manage individual files in the PDF Space.
You can ask questions and get AI‑powered answers grounded in both:
- Files you add directly to the PDF Space
- One or more Knowledge Base collections linked to it
Answers include citations so you can verify where information comes from. If a PDF Space contains only a Knowledge Base collection, that collection becomes the primary knowledge source for the AI Assistant chat.

- You can only use collections you’re entitled to access
- Sharing a PDF Space does not grant access to a collection
- If someone opens a PDF Space without access to one or more linked collections:
- They’re informed that some sources aren’t available
- AI Assistant responses do not use restricted content
Limitations
Knowledge Base collections in PDF Spaces:
- Are not individual files you open, edit, or download in a PDF Space.
- Are not browsable file lists inside PDF Spaces.
- Do not generate AI artifacts, such as podcasts or presentations.
- Cannot be updated for content or permissions from PDF Spaces. You can manage Knowledge Base collections in the Adobe Knowledge Base app.
