Create a linked collection in Adobe Acrobat Analyzer

Create a linked collection to analyze documents that are stored in an external system and kept in sync automatically.

A linked collection connects Adobe Acrobat Analyzer to a folder in Microsoft SharePoint. The collection stays synchronized with the selected folder, reflecting files that are added, updated, or removed in the source system. Linked collections are read-only with respect to document membership and rely on the external source as the system of record.

How linked collections work

When you create a linked collection, Acrobat Analyzer establishes a connection to a specific SharePoint folder. The collection automatically updates as the contents of that folder change.

Key behaviors:

  • Documents are added to or removed from the collection in response to changes in SharePoint.
  • Files cannot be uploaded directly to a linked collection.
  • Document deletion and folder changes must be performed in SharePoint.
  • The original source files are not modified by Acrobat Analyzer.

When to use a linked collection

Use a linked collection when you need to:

  • Analyze documents that are already managed in SharePoint.
  • Keep analysis inputs aligned with an evolving folder.
  • Avoid manual uploads and maintenance.
  • Ensure the contents of the collection remain current over time.

Create a linked collection

  1. On the Home page, select the +New button and pick the Link files option.

  2. Select the Account containing the source documents.

  3. Enter your email and authenticate the connection if requested.

  4. Choose a SharePoint folder to sync to by selecting the radio button for the folder.

    Once connected, Acrobat Analyzer begins syncing documents from the selected folder into a linked collection.

Important considerations

  • You cannot manually add or remove files from a linked collection.
  • Sync timing depends on the external system and connection status.
  • Access to documents is governed by SharePoint permissions.
