Compare collection rankings and review detailed usage across your organization.
The Collections tab in Org analytics provides two top-10 charts and a detailed table. Use the charts to compare collection size, ownership, and activity, or use the table to review collection data for a custom date range.
Open collection analytics
Select Analytics from the navigation menu.
Select the Collections tab.
Review collection and owner rankings
The first chart shows current organization-wide totals. It does not use a date-range control.
Choose a ranking:
- Current collections by document count
- Users by collections owned
The horizontal chart shows the top 10 collections or users for the selected ranking.
When Current collections by document count is selected, the chart ranks collections by their number of documents.
When Users by collections owned is selected, the chart ranks users by the number of collections they own.
Review the top 10 collections
The second chart ranks collections using a selected metric and reporting period.
Choose a metric:
- By distinct active users
- By total transactions
Choose a date range:
- Last month
- Last 3 months
- Last 6 months
- YTD
The chart updates to show the top 10 collections for the selected metric and period.
Review collection details
The table below the charts provides detailed collection information for a custom date range.
Select a date range
Use the calendar control to select the start and end dates.
Enable Pin date range to retain the selected dates while you remain on the Collections tab.
Select the refresh icon to update the table for the selected period.
What the table shows
The table includes the following columns:
- Collection name: Name entered when the collection was created.
- # of docs: Number of files in the collection.
- Sharing: Indicates how the collection is shared:
- Only me when only the owner can access it.
- The number of members when it is shared with specific users.
- Org-wide when it is shared across the organization.
- Documents: Recorded value for document usage.
- Weblinks: Recorded value for web-link usage.
- Web AI Assist: Recorded value for Web AI Assist usage.
- Chatbots: Recorded value for chatbot usage.
- PDF Spaces: Recorded value for PDF Spaces usage.
- API: Recorded value for API usage.
- Web search: Recorded value for web-search usage.
- MCP: Recorded value for MCP usage.
- Total: Total recorded usage for the collection.
Available table controls
Search
Select the search icon and enter a value shown in the table, such as a collection name or sharing value.
The table updates to show matching collections.
Show or hide columns
Select the column-visibility icon to choose which columns appear in the table.
Download
Select the download icon to export the collection analytics data as a CSV file.
How it works
The page provides three views of collection data:
- The first chart shows current collection-size or ownership rankings.
- The second chart ranks collections by active users or transactions for a predefined period.
- The table provides detailed collection data for a custom date range.
Use the charts for quick comparisons and the table when you need details for a specific reporting period.
Best practices
- Use Current collections by document count to identify the largest collections.
- Use Users by collections owned to identify users responsible for many collections.
- Use the second chart to compare activity across standard reporting periods.
- Use the table and custom date range for focused analysis or CSV export.
Things to know
- You must be an administrator to access collection analytics.
- Each chart displays no more than 10 results.
- The first chart shows current totals and does not provide a date-range control.
- The second chart and table use separate date controls.
- Pin date range persists only while you remain on the Collections tab.
- The charts and table do not support drill-down navigation.
- Showing or hiding columns changes only the table display.
