From the Knowledge Base home page, select the Collections filter.
Share a collection with other members of your Knowledge Base organization and control whether they can view or edit its contents.
You can invite specific users or copy a link to the collection. Users with edit access can add files to the collection and delete files from it.
Share a collection
Select the ellipsis next to the collection name.
Select Share collection.
The sharing panel opens.
Enter the names or email addresses of the users you want to invite.
Invited users must be members of your Knowledge Base organization.
Choose the access level for the invited users:
- Can edit: Users can view the collection, add files, and delete files.
- Can view: Users can view the collection but cannot change its contents.
Select OK.
The sharing panel refreshes and displays options for copying a link to the collection.
Share a link to the collection
After you invite users, you can copy a link to the collection and choose who can use it.
In the sharing panel, open the link access menu.
Choose an access option:
- Anyone in your organization: Any member of your Knowledge Base organization with the link can open the collection.
- Invited people only: Only users specifically invited to the collection can use the link.
Select Copy link.
This copies the link to your clipboard
Share the copied link with the intended users.
Things to know
- You can share collections only with members of your Knowledge Base organization.
- Users with edit access can add and delete files from the collection.
- Users with view access cannot modify the collection.
- Link access does not automatically grant access when Invited people only is selected.
- Review the access level before sharing a collection that contains sensitive information.
