Review collections

Review collection ownership, sharing, content, connectors, and chatbot access across your organization.

The Collections tab gives administrators a central view of all collections in Knowledge Base in Acrobat. From this view, you can search collection data, control which columns appear, download a CSV, or open a collection to review its files.

Open the Collections view

Sign in to Knowledge Base in Acrobat as an administrator.

Select Assets from the navigation menu.

Select the Collections tab.

What the table shows

The table includes the following columns:

  • Collection name: Name entered when the collection was created.
  • Owner: Email address of the current collection owner.
  • Date modified: Date the collection was last modified.
  • Sharing: Indicates how the collection is shared:
    • Available only to the owner.
    • Shared with a specific number of members.
    • Shared Org-wide.
  • Number of docs: Number of files in the collection.
  • Number of web links: Number of web links in the collection.
  • Connectors: Number of connectors associated with the collection.
  • Chatbots: Number of chatbot configurations associated with the collection.
  • Ellipsis: The ellipsis opens the available actions for the collection. Available actions are:
    • Change owner.

Available controls

Four controls appear above the table.

Search

Select the search icon to enter a value to search the collection name.

The table updates to show matching collections.

Show or hide columns

Select the column-visibility icon to choose which columns appear in the table.

Refresh the data

Select the refresh icon next to the date range to retrieve the latest analytics data for the selected period.

Download

Select the download icon to download a CSV containing the collection data shown in the view.

Things to know

  • You must be an administrator to access the Collections tab.
  • Collection management actions are not available directly from this table.
  • The Connectors and Chatbots columns show counts rather than configuration details.
  • Opening a collection moves you from Assets to the Collections page.
