Add content to a collection in Knowledge Base

Adding content to a collection defines the knowledge domain that will be available for search, summaries, and Gen AI queries.

You can add documents from your local system or add supported public web sources. All content added to a collection becomes available for interaction through the AI Assistant.

If you do not see the option to add documents, contact your administrator.

Populate your collection:

  1. From the Knowledge Base Home page, select the Collections filter.

    Ensure My collections is selected.

  2. Hover over the collection you want to update, then select Open.

  3. Select the Add files to Collection icon.

Your device - Upload a file to Knowledge Base. The file is resident in Knowledge Base and will not update if the source document is updated.

  • A drag and drop panel is provide to add one or more files from your local system.
    • A Browse files button is available for navigating your local system files.
  • Select the From cloud tab to navigate to your SharePoint or Google drive to upload a file.

Use this option to upload documents directly from your local system into the collection. Uploaded files are processed by Knowledge Base and added to the document list, where they become available for search, summaries, and Gen AI queries.

Cloud storage - Connect to a file in a synced network folder. Updates to the source file are automatically synchronized.

  • You will be prompted to authenticate to your Google Drive or SharePoint account to access the file.
  • You can link folders or individual files.
  • Cloud-connected files allow the user to select a cycle time for synchronization.
  • Define if the files should be retained if the source file is deleted or not.

Select the connector type, SharePoint or Google Drive, and configure the connector:

  • Connector Name - The connector name is used when you review connectors.  Use an intuitive name that describes the content.
  • Sync Schedule - How often should the automatic synchronization run?
  • Auto-remove deleted files - Should the synchronization automatically delete files from the collection if they are deleted from the source file?

Select Browse folders to authenticate to your cloud source and browse the files in that location.

What happens next

After content is added:

  • Uploaded documents appear in the collection’s document list.
  • Content becomes available for search, summaries, and structured extraction.
  • You can refresh or re-index uploaded documents as needed.
