Enable Knowledge Base access for non-Studio users

Grant query-only Knowledge Base access to users who don't have an individual Acrobat Studio for Enterprise license.

Before you can provide access to non-Studio users, Knowledge Base must be enabled for your organization's Acrobat Studio for Enterprise product profile and the user group associated with Acrobat Shared Credits must be configured.

After setup is complete, provide non-Studio users with query-only access by adding them to the user group associated with Acrobat Shared Credits. These users can query collections shared with them but can't create or manage collections or ingest documents. See Knowledge Base credit consumption for access and metering details.

Note

Adobe provisions the Acrobat Shared Credits offer as part of your Enterprise Term License Agreement (ETLA). You don't need to configure the offer in Adobe Admin Console before assigning access.

Add non-Studio users to the Acrobat Shared Credits user group

Add non-Studio users to the existing user group associated with Acrobat Shared Credits to provide access to Knowledge Base. Managing access through the group lets you add or remove users without changing the associated product profile.

Log in to the Adobe Admin console as an administrator, and navigate to Users > User groups.

Locate the Shared Credits user group.

Your user group name may be different.

Open the user group associated with Acrobat Shared Credits to add or remove users who need non-Studio Knowledge Base access.

Add users to the user group.

Users added to the group receive the Shared Credits access and can use the supported query-only Knowledge Base capabilities.

Tip

For larger groups, use the CSV file option. You can export your existing user list from Adobe Admin Console if you need a starting list.

Don't assign the full Acrobat Studio profile unless the users require individual Acrobat Studio for Enterprise licenses.

Grant access using an automatic assignment rule

Use an automatic assignment rule when you want a lower-touch, organization-wide rollout.

In Adobe Admin Console, go to Products > Automatic assignment rules.

Select Add product.

Choose Acrobat Shared Credits and the associated product profile.

Select Next.

Choose All users in this organization, and then select Next.

Automatic assignment rules can target all managed users or users in selected directories and domains.

Choose On-demand or URL access and then select Save.

On-demand access gives eligible users a self-service path to the product, while URL access lets administrators share a direct product-access link.

The product access URL is generated. Select Copy link and save the URL for distribution.

You can always return to the Automatic assignment rules page to reacquire the link.

Active assignment rules remain available for review, and administrators can copy the product access URL at any time.

What users experience after you grant access

After a user receives the shared credits profile:

  1. Sign in to a supported Adobe application, such as Acrobat Reader, using the account that received access.
  2. If the account belongs to more than one organization or profile, select the appropriate organization or profile.
  3. Open Knowledge Base.
  4. Complete the getting-started experience on your first visit.

Users who receive a provisioning URL can open it in a browser and complete sign-in at knowledgebase.adobe.com. The provisioning flow can also be initiated when a user selects the Knowledge Base tile from the Acrobat desktop application or from All tools on acrobat.adobe.com.

A user's first sign-in must occur through knowledgebase.adobe.com or a supported Adobe application. First-time authentication directly from Slack or Microsoft Teams isn't supported.
