Learn how to distribute PDFs for review using your organization’s internal servers in Acrobat on desktop.

You can easily initiate a shared review using internal servers. It’s particularly useful for organizations that need to keep sensitive documents within their firewall or for teams that regularly collaborate on PDFs using a common server infrastructure. To host the review, either let Acrobat create and configure a document library in your SharePoint subsite or use an existing subsite and library you've already set up.

Alert

This workflow uses Acrobat’s legacy sharing experience and is not the recommended review method. Use this approach when your organization requires reviews on its own server infrastructure. Otherwise, use the cloud-based share for the review workflow.

Before you begin
Ensure you turn on the legacy file-sharing experience. To do so, in the Preferences dialog box, select Reviewing, uncheck the Share for review using Adobe’s cloud storage option, then select OK.

Open the PDF and select All tools > Send for comments > Send for shared commenting.

In the dialog box that opens, select a preferred comment collection option from the dropdown menu and then select Next.

Select one of the following server options as required:

  • Network folder
  • SharePoint subsite
  • Web server folder
Note

Make sure all reviewers can access a shared network folder, SharePoint workspace, or web server folder, and that they have read and write permissions for it.

In the Type the URL… field, enter the URL for the selected server site and select Next.

The "Send for Shared Commenting" dialog in Acrobat shows options to host a shared review file via network folder, SharePoint, or web server.
Select a network folder, SharePoint subsite, or web server folder to host your shared review file. Acrobat will verify access and create a document library for shared reviews.

Note

Acrobat initiates the shared review by creating a document library (AcrobatSharedReviews) in your subsite. To use an existing library, select Choose subsite.

In the dialog box that asks you to trust the location, select Yes.

Select the distribution method and the way the file should appear when it’s sent, and then select Next.

To save this shared review profile for future use, provide a name and then select Next.
