Configure Knowledge Base for HIPAA readiness

Last updated on Aug 20, 2026

Prepare Knowledge Base in Acrobat for HIPAA-ready use and understand how that configuration affects PDF Spaces integration.

Organizations with HIPAA requirements can configure Knowledge Base so content is not made available through PDF Spaces. After the applicable Business Associate Agreement (BAA) process is complete and Adobe enables HIPAA readiness for the organization, PDF Spaces integration is disabled and organization administrators cannot re-enable it.

Understand the PDF Spaces restriction

Knowledge Base can make collections available through PDF Spaces as part of the Acrobat Studio experience.

Organizations may need to prevent this integration when their security, privacy, or regulatory requirements require Knowledge Base content to remain within the higher-compliance environment.

The Disable PDF Spaces integration setting controls whether Knowledge Base content can be accessed through PDF Spaces.

Disable PDF Spaces integration

Organization administrators can disable the PDF Spaces integration before HIPAA readiness is enabled for the organization.

To disable the integration:

Sign in to Knowledge Base as an organization administrator.

Open Settings.

Locate Disable PDF Spaces integration.

Enable the setting.

Knowledge Base Settings page showing Manage PDF Spaces access with the Disable PDF Spaces integration toggle highlighted.
Enable Disable PDF Spaces integration to block PDF Spaces users from accessing Knowledge Base.

When the setting is enabled, Knowledge Base content is not made available through PDF Spaces.

If HIPAA readiness is not enforced by Adobe, organization administrators can change the setting as their organization's requirements change.

How HIPAA readiness affects the setting

HIPAA readiness requires completion of the applicable BAA process with Adobe.

After that process is complete and Adobe enables HIPAA readiness for the organization:

  • Disable PDF Spaces integration is enabled automatically.
  • PDF Spaces cannot access Knowledge Base content.
  • The setting remains visible to organization administrators.
  • The setting is unavailable for editing.
  • Organization administrators cannot re-enable PDF Spaces integration while HIPAA readiness is enforced.

Adobe manages the HIPAA-ready state. Customer administrators do not need to configure the Adobe-controlled setting that applies this restriction.

Understand administrator control

The behavior of the PDF Spaces setting depends on whether Adobe has enabled HIPAA readiness for the organization.

Organization state PDF Spaces integration Administrator control
HIPAA readiness is not enabled Can be enabled or disabled according to organization requirements The administrator can change the setting
HIPAA readiness is enabled Disabled The administrator cannot change the setting

This allows organizations without an enforced HIPAA-ready configuration to disable PDF Spaces independently while preventing HIPAA-ready organizations from overriding the required restriction.

Complete the BAA process

Organizations that require HIPAA readiness must complete the applicable Business Associate Agreement process with Adobe.

After the BAA process is completed and the organization is approved for HIPAA-ready use, Adobe applies the required configuration to the organization.

Contact your technical account manager or sales representative to initiate the BAA process.

HIPAA readiness considerations

  • HIPAA readiness requires completion of the applicable BAA process with Adobe.
  • Enabling HIPAA readiness automatically disables PDF Spaces integration with Knowledge Base.
  • Organization administrators cannot override the PDF Spaces restriction while HIPAA readiness is enforced.
  • Organizations can disable PDF Spaces integration independently when HIPAA readiness is not enforced.
