Reclaim assets from a user

Reclaim content from users who leave your organization by transferring their Adobe Storage assets to another user.

Caution
  • Use Asset Reclamation only for users leaving your organization. If you're migrating users to another organization, use Asset Migration instead.
  • Don't remove the administrator who started the asset reclamation until the process is complete.

Reclaim assets while removing a user

Whenever you remove a user, if the affected user has assets stored their Adobe Storage for businesses folders, you're prompted to reclaim the assets.

Sign in to the Admin Console and go to Users.

Select a user to remove.  If multiple users are selected, the Admin Console displays separate lists of users affected and unaffected by asset reclamation.

Select Remove user, and then choose:

  • Transfer content now: The recipient receives an email with download links after the compressed archives are created.
  • Transfer content later: Keep the assets and reclaim later from the Inactive Users tab. If a retention policy is set for your organization, assets are retained for the configured period before being permanently deleted. Learn more about setting a content retention policy.
  • Permanently delete content: Remove all assets permanently. This action can't be undone.

When removing users in bulk, Transfer content later is selected automatically. You can transfer the assets later by going to Storage > Individual User Folders > Inactive Users.

In the confirmation screen, select Remove User.

Note

Admins receive an email if the asset reclamation process fails. Depending on the stage, you can do one of the following:

  • If the send email action fails, Share Inactive user's folder to reinitiate the email.
  • If the compressed archive creation fails, add the user again and assign them to a Product Profile that gives them a storage entitlement. Then restart the process.

Reclaim content from Inactive User folders

Reclaim assets from users who are no longer active in your organization. You can also define how long content from inactive users is retained before it’s permanently deleted. Learn more about setting a content retention policy.

In the Admin Console, go to Storage > Individual user folders > Inactive users.

To search for a specific user, enter their email address, username, first name, or last name in the search field.

Note

Search may return no results if the user's information was deleted from the system, the user was never part of your organization, was a directory user, was removed from the directory or deprovisioned, or has no inactive storage.

Select View details   for the user.

Select the More options   icon, then choose Edit Folder Access.

Enter the designated recipient's email address and select Add.

Select Save.

The recipient receives download links via email once the archive is created.

Download shared files

The designated user receives an email with links to download the reclaimed assets as one or more compressed archives.

  • Each archive can be up to 5 GB.
  • Large asset collections may be split into multiple archives and can take longer to process before the email is sent.
  • The archives contain supported assets, including files, Creative Cloud Libraries, and cloud documents. See Assets that can be reclaimed for the complete list.

Assets that can be reclaimed

The reclaimed archives contain supported assets from the user's Adobe Storage.

For Acrobat users, only assets under the Files tab are included in asset reclamation. Assets under Other Storage and Agreements aren't included.

  • Cloud documents (Photoshop, Illustrator, and XD)
  • Adobe Express files (created on or after August 16, 2023)
  • Published documents
  • Acrobat Sign agreements
  • Adobe Express social posts
  • Mobile creations
  • Lightroom files 
  • Behance assets
  • Portfolio assets
  • Deleted assets

Recover reclaimed assets

To access the reclaimed assets, extract the downloaded archive and upload the files to your Creative Cloud storage. For more information, see Manage transferred assets.

Some asset types require additional steps:

  • Published InDesign links: Republish the document from the new account to restore published links.
  • Lightroom files: Transfer these files before removing the user from the organization.
  • Other unsupported assets: Contact Adobe Customer Care.
Note

Files that the user marked for deletion in their Creative Cloud storage folders can't be reclaimed.
