Migrate users and user groups from old profiles
Use CSV exports and imports to move users from existing profiles to new entitlements while maintaining notification control.
Migrating users between product profiles becomes necessary when your organization changes entitlements, upgrades plans, or reorganizes product access. Use this procedure when moving users from one product profile to another product profile (with new or different entitlements). This migration preserves user data while updating their access to Adobe apps and services.
Before starting the migration, decide on your approach based on the organization's structure. If users are organized in user groups, migrate the entire user group rather than individual users. For organizations with 10 or fewer users per profile, manual migration may be more efficient than CSV-based bulk migration. For larger deployments or directory-synced environments, use automation tools such as the User Sync Tool or the User Management API.
Before you begin
You’ll need:
- System Admin or Product Admin role in the Admin Console
- Access to both source and target product profiles
- Target product profile created and configured with appropriate services and quotas
Export users from the source profile
The CSV file you download contains all user data needed for the import step, including identity type, username, domain, email, first name, and last name.
Go to the Users tab within the product profile.
Select the menu icon in the upper-right corner and choose Export users list to CSV.
Choose a folder on your computer, then select OK to save the file.
Turn off user notifications (Optional)
When migrating large numbers of users, turn off notifications on the target profile to prevent each user from receiving an email about the profile assignment. Users with existing entitlements do not need notification emails for migrations, though new users without previous entitlements will still receive emails regardless of this setting.
Navigate to the target product profile and select Details.
Locate the user notification setting and turn it off.
Select Save to preserve the profile changes.
Import users to the target profile
Use the CSV file exported from the source profile to add users to the target profile. Product assignment may take a few minutes to complete.
Navigate to the target product profile, then open the Users tab.
Select the menu icon in the upper-right corner and choose Add users by CSV.
In the Add Users by CSV dialog box, either drag and drop the CSV file you exported earlier or select Select a File to browse for it.
Select Upload to begin the import process.
After the bulk operation completes, you receive an email notification. View detailed results by navigating to the Users tab, selecting the menu icon, and choosing Bulk Operation Results. For troubleshooting bulk upload issues, see Troubleshoot bulk user upload.
Delete the source product profile
Delete the source profile only to remove entitlements, and only after confirming all users are migrated. This step is optional.
Navigate to the product containing the source profile.
Select the check box to the left of the product profile name.
Select Delete Profile.
Confirm the deletion in the dialog box that appears.
Migrate user groups between profiles
For organizations that use user groups to manage product profile assignments, migrate the entire user group rather than individual users. This approach preserves group structure and simplifies ongoing management.
Navigate to Users > User Groups in the Admin Console.
Select the user group you want to migrate.
Go to the Assigned Product Profiles tab.
Select the checkbox next to the source product profile, then select Remove Profile.
Select Assign Product Profile.
In the Assign Product Profiles screen, select the target product profile with the new entitlements.
Select Save to complete the migration.
For organizations managing users through directory sync, use automated methods instead of manual migration. The User Sync Tool, User Management API, Microsoft Azure Sync, and Google SSO Federation all support automated profile assignment changes. Read the respective documentation for implementation guidance.
