Sign in to the Admin Console and navigate to Products > Product access automation > Automatic assignment rules.
Automate product provisioning by creating rules that grant eligible users immediate access upon request.
Automatic assignment rules enable System Administrators to assign products to users who meet defined eligibility criteria. Users can request access from Adobe desktop applications or web surfaces, and the rule automatically grants the license without manual approval. For more granular control, you can enable product requests instead, which require admin review before approval.
Users can request access from the Creative Cloud desktop app, Creative Cloud on the web (desktop only), Adobe Stock, Adobe Acrobat Sign, Adobe Express, Adobe Firefly, Developer Console, and Adobe Acrobat (AI Assistant only).
Before you begin
You need:
- System Administrator role in the Adobe Admin Console
- Available product licenses for assignment
Create an automatic assignment rule
Select Add product.
Select a product and a product profile (enterprise only) to assign to eligible users automatically.
Select Next, then choose which users can use this rule by selecting either All users in this organization or Users in selected directories or domains.
If you selected Users in selected directories or domains, select Add directory to specify which directories and domains to include.
Creating multiple rules for the same product with different product profiles assigns multiple licenses to eligible users when they request access.
Select Next and choose how users will request access by selecting either On-demand access (allows requests from integrated Adobe applications and generates a shareable URL) or URL-only access (generates a URL for direct sharing).
Select Save.
When you create an automatic assignment rule for a product that provides API access, it automatically assigns users as developers if they aren't already assigned. Learn more about managing API developers.
Use URL-only access when you want to extend automatic access to specific users, share the option to request access through internal channels, or when the product doesn't support in-app requests.
Handle license capacity issues
When no licenses remain available for a product with an active automatic assignment rule, the system responds differently based on your contract type.
Teams contract or VIP contract with Team products:
The Admin Console displays a warning that you should purchase more licenses. When a user requests access to a product with no available licenses, administrators receive an email notification and see an error in the Admin Console. The requesting user receives an email notification explaining that no licenses are available. Users can submit new requests and will automatically receive access when licenses become available.
VIP contract with Enterprise products:
The Admin Console displays a warning that you should purchase more licenses. Administrators receive an email notification when a user requests access to a product with no available licenses. Users are automatically granted access in the order of their request once more licenses become available, and they receive an email notification when access is granted.
To view pending users awaiting access, navigate to Products in the Admin Console, select the product, and select NO ACCESS. In the Users tab, you can remove users who no longer need access to free up licenses.
Enterprise contract with Enterprise products:
If your contract allows over-delegation, licenses can be over-assigned beyond your contract limit. Any eligible user who requests access or follows a product access URL receives automatic approval regardless of the number of licenses remaining in the organization.
Edit an automatic assignment rule
Sign in to the Admin Console and navigate to Products > Product access automation > Automatic assignment rules.
Select the Edit icon for the assignment rule.
Change the product, product profile (enterprise only), eligible users, or user access options.
To generate a new product access URL, go to the Choose user access options screen and select Create new URL.
Select Save.
Generating a new product access URL invalidates the previously generated URL, preventing previous recipients from requesting access using the old link.
Remove or pause an assignment rule
Sign in to the Admin Console and navigate to Products > Product access automation > Automatic assignment rules.
Select the checkbox for the assignment rule.
Select Pause to deactivate the rule temporarily or Remove to delete it permanently.
Confirm your selection.
Pausing or removing a rule does not affect users who have already been provisioned a license through the rule. You can resume a paused rule at any time.
