Asset settings overview

Asset settings give your organization control over how users share company-owned assets externally. As a system administrator, you can restrict sharing features within Creative Cloud and Document Cloud to ensure that sensitive content reaches only appropriate external recipients.

These controls work with your organization's other policies to manage how assets are shared. Asset settings limit sharing through Adobe applications but aren't a complete digital rights management (DRM) system. Users with access to assets can still copy and redistribute them through third-party systems outside Adobe's ecosystem.

How asset settings work

Asset settings apply at the organization level and affect all users in your Adobe Admin Console. You configure these settings under Settings > Asset settings in the Admin Console.

When you select a restrictive policy, the system enforces limitations on public link creation, invitation-based sharing, and social media publishing across Creative Cloud and Document Cloud applications. The restrictions apply to both new sharing actions and existing shared content based on your selected policy level.

The following sharing policy levels are available, each building on the restrictions of the previous level:

No restrictions: Allows users complete freedom to create public links, post to social media, and collaborate with anyone inside or outside the organization. It is the default setting and recommended for organizations that trust employees to exercise judgment when sharing content.

No public link sharing: Prevents users from generating public links and posting content to social media platforms, while still permitting invitation-based collaboration with specific individuals or organizations. This policy suits organizations that want to prevent anonymous access while maintaining flexibility for named external collaborators.

Sharing limited to org members and trusted users: Restricts all sharing, including invitations, to recipients within your organization, claimed domains, trusted domains, and authorized domains. This policy provides the most control over which external entities can access organization assets.

Deployment considerations

Before enabling sharing restrictions, evaluate the impact on existing workflows and shared content. Once you apply a restrictive policy, the system immediately begins removing affected content. This removal process cannot be stopped or reversed.

Selecting No public link sharing immediately removes all existing public links. Users who previously accessed content through these links lose access permanently. Content Schedules in Adobe Express become unavailable, and scheduled social media posts pause.

Selecting Sharing Limited to Org Members and Trusted Users removes all existing public links. This also revokes access for external collaborators who are not part of your organization or are not listed in the claimed, trusted, or authorized domains. This includes existing shared folders, documents, and project collaborations. Users cannot access Content Schedules in Adobe Express and scheduled social media posts pause.

Policy changes may take up to 24 hours to fully apply across Adobe products and services. This delay occurs because cached entries must be cleared from CDNs and preview images removed from integrations like Slack.
