Set user identification

Last updated on Jun 2, 2026

Learn how to specify a username in Adobe InDesign to track editing activity and allow content checkouts in managed workflows.

All users must have a username to identify who has checked out content and to allow editing. To change your name, first check in any content you have checked out, or you may lose editing access. Each application supports only one user identification per user.

Select File > User.

Enter a unique username.

Select OK.

Note
  • If you attempt a workflow action without setting a username, you will be prompted to enter one.
  • The InCopy Notes and Track Changes features also use the specified name to identify the author of a note or a tracked change.
  • The color menu in the User dialog box is used only for notes and tracked changes and does not affect managed workflows.
